Our Process

A FOIA Management Process Built Around How Your District Already Works

No two districts handle FOIA requests the same way, and we don't expect you to change that. FOIA Pro adapts to your existing intake process while guaranteeing the outcomes that matter most.

What we guarantee

Whatever your current process looks like, here's what you can count on

These five commitments are the foundation of our FOIA management service — they hold true no matter how your district currently receives, tracks, or handles records requests.

01

We meet the state's time requirements

Michigan's FOIA law sets a strict response clock, and hitting it is non-negotiable for us on every request, every time.

02

We document everything along the way

Every action, decision, and communication is logged, giving your district a complete, defensible record whenever you need one.

03

Your district holds final authority

Nothing is released, redacted, or withheld without your FOIA Coordinator's sign-off. Every decision runs through your office first.

04

We work alongside your administrative staff

Not around them, and not in place of them. We plug into whatever process your team already has, rather than asking anyone to adopt ours.

05

We coordinate with your billing department

Keeping your business office informed and involved so requesters receive accurate, timely fee estimates and clear communication.

Built to adapt

Your process, not a one-size-fits-all script

Some districts field FOIA requests through a dedicated email inbox. Others use an online portal that requires requesters to submit through a specific form. Some still handle a request that walks in the front door. As a FOIA management firm, our job is to work within whatever system your district already has — not to ask you to change how you operate so it fits our process.

If requests come in by email

We work directly from your existing FOIA inbox, so nothing new has to be set up and nothing changes for whoever currently monitors it.

If your district uses an online portal

We work within your portal's existing submission and tracking flow rather than introducing a separate system your staff has to check.

If requests are still handled informally

Paper requests, phone calls, or a request handed to whoever's at the front desk — we adapt our intake to match, rather than requiring a new process on day one.

As a growing FOIA management firm, we're building and refining the specifics of our workflow in real time, district by district. What doesn't change is the five guarantees above — those hold regardless of how the details underneath them get worked out for your particular office.

Guarantee #1, in detail

How we make sure the state's deadlines are met

Michigan's FOIA response timeline

Response deadlineA written decision within 5 business days of receipt — grant, deny, partial, or extend. The records themselves may follow later.
ExtensionOne additional 10 business days, in writing, with a stated reason. Only one extension per request.
Business daysWeekdays excluding Saturdays, Sundays, and legal holidays. District closures like breaks do not pause the clock.
Electronic requestsTreated as received one business day after they're sent.
Late responseReduces recoverable labor fees by 5% per day late, up to a 50% maximum.
Documentation & trust

A record you can stand behind

A complete audit trail

Every request we handle is logged with dates, actions taken, and time spent at each stage. On request, your district can produce a complete, neutral history of any FOIA request — including questions about your own FOIA activity, such as how many requests a specific person has filed and how long each took to fulfill. That's the kind of defensible documentation a true FOIA management firm should provide as standard practice, not an add-on.

Confidentiality & records handling

Where applicable, FOIA Pro operates as a designated school official under FERPA — a designation established by our services agreement — handling all records solely for FOIA processing and under your district's direction. Protected data is used only for the authorized purpose and is never used to train any third-party system. Working copies are handled according to your district's retention preferences once a request closes.

Why it matters

Flexibility now, consistency where it counts

We meet you where you are

A rigid, one-size-fits-all workflow sounds efficient on paper, but it rarely survives contact with the real world. Every district we talk to has its own history with FOIA — its own inbox, its own portal, its own informal habits built up over years. Rather than asking your office to abandon a system that already works for you, our approach as a FOIA management firm is to learn how your district currently operates and build our involvement around it. That's a more honest, more useful kind of FOIA request management than forcing every client through an identical script.

What stays constant, no matter the details

Flexibility on process doesn't mean flexibility on outcomes. The five guarantees on this page — meeting the state's deadlines, documenting everything, keeping final authority with your district, working alongside your administrative staff, and coordinating with your billing department on estimates — are the same for every district we work with, regardless of how requests happen to arrive on any given day. Those guarantees are what you're actually paying for when you choose a FOIA management service; the specific mechanics underneath them are simply whatever gets you there most smoothly.

A young firm, building deliberately

We're candid about being a newer company. What that means in practice is that we're refining the operational details of our FOIA request management process district by district, rather than pretending we have a rigid system handed down from years of software development. What it doesn't mean is any compromise on the fundamentals — the state's legal deadlines, full documentation, and your district's final authority aren't things we're still figuring out. Those are fixed. Everything else is built around you.

Let's figure out your fit together

The best way to understand how FOIA Pro would work for your specific district is a conversation, not a generic pitch. Tell us how requests currently reach your office, who typically handles them, and what's worked or hasn't worked so far — and we'll walk you through exactly how we'd fit into that picture while holding to every guarantee above.
